USPS Form 1583 is a federally required authorization that allows U.S. Global Mail to legally receive and open mail on your behalf.
Think of it as your permission slip to activate your virtual mailbox.
It’s required by the U.S. Postal Service for all customers - individuals and businesses- who use a Commercial Mail Receiving Agency (CMRA) like us. Without it, we legally can’t receive your mail.
Additionally, notarization by a certified notary is necessary to validate the form for authorization and identity verification.
Why does the USPS requires Form 1583?
It is to protect your own privacy. The form ensures that you, and only authorized parties, are able to access mail that is addressed to you.
USPS requires all Commercial Mail Receiving Agencies (CMRA), like US Global Mail, to collect the notarized document from every customer that intends to have their mail opened, scanned or shipped after we’ve received it at our addresses.
Form 1583 is NOT a change of address
The 1583 Form authorizes US Global Mail to accept mail in your name. It does not change your address with the USPS or tell us where to forward your mail.
To get mail directed to your US Global Mail address, you'll need to notify senders of your new address or file a Change of Address with the U.S. Postal Service.
Why you need 2 ID forms for verification?
To protect your privacy, you need to serve as the applicant on the form. The notary needs to see two forms of ID to verify that you are the applicant listed on the USPS Form 1583.
The information requested on this form is strictly used to complete the USPS form 1583. Your form then will be securely saved as proof that we received your consent to open, scan, ship, or shred mail that’s addressed to you.
If you're setting this up for yourself: USPS requires 2 forms of ID from anyone receiving mail at a virtual address — whether you're a founder managing company mail, an expat living overseas, or just need a US address for personal use.
If you're setting this up for your company: USPS regulations require us to verify whoever opens the account — even if you're not getting personal mail. Think of it like opening a business bank account: someone has to be the authorized signatory.
Your ID is just for account verification. We can still receive mail for:
All your company names (no extra ID needed)
Any employees/family you add as recipients (they'll provide their own ID)
You personally (if you want personal mail too)
Form 1583 for family members
You, and your minor children can be on the same form 1583. Per new USPS regulations, each adult, including a spouse needs a separate Form 1583.
Only 1 form of ID is required for minors.
If your children are over 18, USPS requires 2 forms of ID and a signed and notarized 1583 form for each recipient.
How Long Does the Form Review Process Take?
Once the Form 1583 is completed and notarized, the review process typically takes 1-3 business days. After approval, your account will be fully set up to receive mail at your assigned address.
After approval, you can expect your US Global Mail dashboard to display a sample mailbox as a placeholder. This sample mailbox will be replaced with your actual mailbox contents once your first physical mail item is received and scanned into the system.
What Happens After Notarization?
Once you submit your notarized Form 1583, US Global Mail securely retains the document and handles the process on your behalf.
The notarized Form 1583 will not appear in your dashboard as it is securely retained internally for compliance purposes. Additionally, new accounts may display a sample mailbox to help users understand the interface. This placeholder will automatically update to show actual mailbox contents once the first mail item is processed.
Troubleshooting Notarization Issues
If you encounter issues, such as incomplete or improperly notarized forms:
Ensure all sections of the form are accurately filled out.
If issues persist, email the completed form to [email protected] for assistance from our support team.
US Global Mail provides customers with a pre-filled form on your dashboard after signing up. Along with detailed instructions, live support, and notary services to complete the form. Your dashboard also includes features like a sample mailbox for new accounts, which transitions to your actual mailbox once mail is received. This ensures a seamless user experience as you familiarize yourself with the platform.
Dashboard Expectations After Form 1583 Completion
After completing the USPS Form 1583 notarization process, your dashboard will reflect the readiness of your account. While the notarized form itself will not appear in the dashboard, a sample mailbox will be displayed initially. This placeholder will be replaced with your actual mailbox contents as soon as your first mail item is processed. No further action is required from you after notarization.
