Applies To: Enterprise Plans
Overview
You know those familiar names that keep showing up in your mailbox—banks, government forms, vendors who still think fax machines are cutting-edge? Now you can finally do something about them. Automatically.
Sender-Based Mail Automation Rules let you take predefined actions on incoming mail based on the sender name. It’s ideal for handling high-volume, repetitive items—without any manual sorting, clicking, or muttering under your breath.
This is the first in a lineup of smarter mail tools designed to make physical mail feel as modern as the rest of your workflow.
What You Can Do
With Sender-Based Automation Rules, you can:
Automatically scan, ship, move, or discard mail from specific senders
Apply rules to letters, large envelopes, packages, and more
Define matching conditions like “Sender name contains,” “equals,” or “starts with”
Manage incoming mail at scale without human input
In other words, your mail just got smarter. Finally.
Where to Find It
You’ll find the feature under:
Settings → Automation → Advanced Rules
Click “Create Rule” to start building your sender-based automation setup.
How It Works
When a new mail item is received, the system checks the sender name against your rule set. If a match is found, the assigned action runs automatically. No manual triage. No second-guessing.
You can create rules based on:
Sender Name: Use filters like “contains,” “equals,” or “starts with”
Mail Type: Target specific item types (letter, package, magazine, etc.)
Action: Choose to scan, ship, move to folder, or return to sender
Additional options, like shipping schedules and scan credit handling, are available based on the action selected.
Note: Rules only apply to new mail received after the rule is created. Previously received items are not affected.
Why It Matters
This feature cuts down on decision fatigue, speeds up routine processing, and creates predictable workflows for teams that need them.
Especially useful for:
Finance and legal teams juggling time-sensitive documents
Operations teams handling shipments and vendor mail
Any company dealing with lots of mail items per day that needs things to just… run
Frequently Asked Questions
Is this available on all plans?
No. Sender-Based Automation Rules are available exclusively on Enterprise and custom plans.
Can I apply a rule to past mail?
No. Rules apply only to mail received after the rule is created.
Can I create multiple rules for the same sender?
No. Each sender can only have one active rule at a time. If a duplicate is attempted, you’ll be prompted to edit the existing rule.
Final Note
If your mail has been a little too high-maintenance lately, this is your cue to take back control—quietly, efficiently, and with zero paper cuts.
More automation features are coming soon. We’ll try not to get smug about it.
