All About Your Mail Items

This article provides a complete guide to the Inbox app, explaining each section, feature, and action so you can easily manage, track, and organize all your mail items.

Updated this week

Welcome to your Inbox — the heart of your virtual mailbox. This is where all your incoming mail is received, reviewed, and managed. Here’s a guided walkthrough of each part of the Inbox, so you always know what you’re seeing, where to act, and what each detail means.

1. Navigation Menu (Left Sidebar)

The left sidebar is your main navigation hub:

  • Mailbox – View all incoming mail items (this is your Inbox screen)

  • Scans – Access completed scans and opened mail

  • Shipments – Track outgoing and pending shipments

  • Discards – Review discarded mail (mail you no longer need is securely disposed of)

  • Archive – Browse archived mail items

  • Billing History – View your invoices and payments

  • Settings – Manage recipient names, addresses, plans, and add-ons

At the bottom, you’ll find:

  • Your US Global Mail address

  • Quick actions to copy or change your address

  • Referral program link (e.g., Unlock a free month)

2. Inbox Tabs

At the top of your Inbox, you’ll see two main tabs:

  • Inbox – All active mail items waiting for action

  • Quarantine – Mail that arrived for a recipient name not listed in your account

Use these tabs to quickly sort and manage your mail items.

3. Search, Filters & Sorting

Above the mail list, you can fine-tune what’s displayed:

  • Search – Find mail by mail ID

  • Filters – Narrow results by:

    • From – sender

    • To – recipient

    • Mail Type – letter, package, etc.

    • Folder – custom folders

    • Scan Status – scanned, not scanned, scan requested

    • Date Range – specify a time frame

  • Sort by – Change how items are ordered (e.g., newest first)

These tools make it easy to locate specific mail — especially helpful when managing a high volume.

4. Bulk Actions Bar

Select one or more mail items to reveal bulk actions:

  • Scan – Request a scan of the mail contents

  • Ship – Forward mail to your chosen address

  • Discard – Securely dispose of mail

  • Deposit Check – Submit checks for deposit

  • Open Box – Open and scan package contents

  • Archive – Move items out of the main Inbox

  • Return to Sender – Send mail back to the sender

  • Move to Folder – Organize mail into custom folders

Bulk actions save time by letting you manage multiple items at once.

5. Mail Item Cards (Your Mail List)

Each row represents a single mail item and includes:

  • Envelope Image – Picture of the mail exterior

  • Date Received – When it arrived

  • Sender Name – Who sent it (e.g., Bank of America, US IRC)

  • Recipient Name – Which account name received it

  • Mail Type – Letter or package

  • Status Badges – Indicators like Scan queued or View scan

  • Folder Badge – Shows which folder the item is in

  • Label – AI-generated label based on scanned content

This gives you a quick snapshot to identify important mail at a glance.

6. Quick Actions (Per Item)

On the right of each mail item, you’ll find quick-action icons:

  • Scan

  • Ship

  • Deposit (if applicable)

  • Discard

  • Archive

  • More actions menu

These let you act immediately without opening the full item details.

7. Mail Item Details

Clicking on a mail item opens the details drawer, which provides additional information:

  • Weight and dimensions

  • Scanning info (if scanned upon your request)

  • Sender address

  • Mail ID

  • Storage charge indicator (if applicable)

  • Ability to add notes — perfect for teams to manage mail accurately and coordinate internally
